How many Wi-Fi access points does your space need?

Two different questions decide this, and mixing them up is why so much Wi-Fi disappoints. How far the signal has to reach is one problem. How many devices need serving at once is a different one.

Coverage is whether a signal arrives. Capacity is how many devices it can serve at usable speed once it does. A single access point can show full bars across a floor and still collapse when thirty devices connect, because they are taking turns on the same radio.

The estimator below calculates both and tells you which one is binding, because the fix is different in each case. If capacity is your constraint, adding an access point in a far corner does nothing.

What is behind the number

    Estimates in Canadian dollars before tax, for comparing quotes and spotting a gap. A real number comes from someone walking the building.

    Cabled, not mesh

    Every access point in the number above assumes its own cable and Power over Ethernet. A mesh access point relays traffic over the air, using radio time to both receive and resend, which roughly halves what it can deliver.

    Mesh is a reasonable workaround for a building you genuinely cannot cable. It is not a design choice, and a mesh node placed to fix a capacity problem makes the problem worse.

    Where a calculation stops being useful

    A warehouse with tall racking needs an on-site survey rather than a formula. Stock on shelving blocks signal as effectively as a wall, and coverage down an aisle behaves nothing like coverage across open floor. The same is true of any building with solid interior walls or a lot of glass.

    Placement matters as much as count, and placement is what a survey produces. There is more on why this goes wrong in coverage is not capacity.

    Want a real number instead of a range?

    An estimate is enough to decide whether to start. A quote needs somebody to look at the building. Ours are fixed scope and fixed price, agreed before any work begins.

    Before you call

    Can I just buy a better single access point?

    If coverage is your constraint, sometimes. If capacity is your constraint, no: the limit is airtime shared between devices, and one radio has a fixed amount of it however good the hardware is.

    Do I need the newest Wi-Fi standard?

    Only if your devices support it and your cabling can feed it. A current-generation access point on a Cat5e cable in a building full of five-year-old laptops will not deliver what the box claims. Check what your devices actually are first.

    Our Wi-Fi is fine most of the time. Is that normal?

    Yes, and it is the classic capacity signature. Coverage problems are constant; capacity problems appear at the busiest hour and disappear again, which is why they get misdiagnosed as something else entirely.
